Client Detail Screen

 

Phone Button - With a software based telephone system, use the Phone Icon to dial any of the phone numbers listed for the client. In order for this feature to work, the agency has to install a TAPI Service Provider in your computer. The phone system should include the TAPI Service Provider installation file. You also have to select the TAPI Provider in the Telephone section of the Administration Console.

Email Button - With Microsoft Outlook installed on each workstation, use the Email Icon to email the client. Documents can be linked to this button so that they may be emailed. Email Templates can also be setup in the Administration Console.

Printer Button – Documents can be linked to this button so that they can be printed to client.

Send SMS Button - SMS Text Messages can be sent using documents linked to this button.

If multiple users have the same client screen open an alert will display on the screen at which point users can click the alert to see a list of the users who are currently connected to that client.

 

Status and Notes Area

The displayed status indicates the status of the client and the admin status specified. The History screen will display the client status changes made.

 

Changing the Client Status and Admin Status

  1. Click Change Button

  2. Select New Client Status or New Admin Status

  3. Date of Change will automatically update to the current date

  4. If changing to an inactive status the closing reason options will be visible

  5. Enter Note indicating the reason for the change (Optional)

  6. Click OK

When changing the client status if the ACH default status in the Administration Console is different it will prompt the user to confirming turning ACH On or Off.

 

Special Alert messages for the client can be added to the notes area.

 

Adding Alert Notes

  1. Double-click the Notes field to open the Notes window

  2. Enter the note in the add note portion of the screen

  3. Users can also change the font/formatting by clicking on Font or Color

  4. Click Add Note

  5. Click OK

The software adds the specified text to the notes, with a time-stamp and the User ID of the individual making the change.

 

For security and tracking purposes the software allows administrators to set up the notes field to add information on what text is added, by whom, and when. This functionality allows agencies to set their notes to an ‘Add-Only’ status for security reasons. The notes section remains read-only and allows access only to the lower field so users can add their comments.
